Privacy Policy of ifolor Oy, Vantaa, Finland

Updated 17.11.2023

The ifolor team is delighted to be the chosen one to process your photos. Your satisfaction is our top priority. You can be assured that your photos and personal data will be handled according to data protection acts. This document explains what personal data (i.e., information related to identified or identifiable persons) will be collected from your orders, and how these are processed and used. We also explain how we use cookies.

Collection of personal data

The collection and processing of  data will insofar only be performed when serving the professional processing of your order and the maintenance of the customer relationship. Your data is only used for the purpose for which it was collected and to protect our own legitimate business interests, in accordance with the relevant valid data protection regulations.

The order software contacts our servers for various reasons. This is necessary, for example, for requesting and updating price information or if an order is placed. Access data is then temporarily saved on our servers, such as current IP address of your access and date and duration of  your visit. This data is deleted no later than in 30 days.

Use and transfers of personal data

We handle your data confidentially as a matter of principle and do not pass them on to third party processors. However, we reserve the possibility to have the data processed by third parties in Switzerland or in EU countries, if so required for the operational processing of orders. In such case, data protection will be ensured by compliance with the privacy protection laws applicable in Switzerland, the EU and in each such country, and by corresponding contracts with our suppliers. Your image data will be automatically deleted no later than 30 days from completion of your orders.

Payment

The electronic payment process is handled by a certified payment service provider Datatrans AG Zürich. Payment information is transmitted directly to the payment service provider and stored there for a limited amount of time for payment processing and for possible complaints or credits. This does not apply to payment by invoice.

To improve what we offer, particular events, such as cancellations of order processes, are included in our order software. The events which are recorded are pseudonymised and transferred to Mapp Digital Germany GmbH, Sandstr. 3, 80335 München, Germany for a statistical analysis (see also: webanalytic).

The legal basis is our legitimate interest, Art. 6 (1) point f GDPR, to provide you with a smooth order process and to make our website more user-friendly and effective overall.

The applicable Webtrekk Privacy Policy can be found at https://mapp.com/privacy.

You can deactivate the counting and transfer of events at any time.

There is also a campaign evaluation in the order software, using which we can recognise how customers were won. All campaign evaluation data is pseudonymised and statistically evaluated by Adjust GmbH. You can deactivate this at any time. Naturally, we also take the global settings on your device into account.

Ifolor seeks to design the order software process as user friendly and efficient as possible. To this end, the order software requests access to the customer's address book so that personal contacts easily can be used as shipping addresses. This information is not used for any other purposes.

You may send us your image data for processing not only from your own devices but also through internet services such as Google Photos. By doing so, you do not grant us access to your log-in data for those services or to your other data placed in those services. The order software of ifolor is given access solely to your shared data and images and/or your public profile. These services will provide you with more detailed information about what data are thereby made accessible. Please also refer to these services' privacy policy.

Ifolor's customer records only store customer information that the person concerned has provided to Ifolor at the time of order or later. Information may be disclosed for legitimate use, such as direct marketing. You may prohibit processing and transfer of your information for marketing purposes, as well as inspect your information at any time.

Cookies

We seek to design our web presence as user friendly and efficient as possible. To this end, we apply cookies. You may decide yourself whether or not our software may load cookies onto your computer. You can configure your browser so that cookies will not be accepted, or only from certain web sites, or only after notice. Please observe, however, that the use of certain functions of our website may be restricted or disabled if you decline cookies from our web site. For a convenient experience we recommend a browser setting which accepts our cookies.

Cookie policy

Cookies are small data files which are stored in the browser of your computer while it visits our web sites. Cookies support the functions of our service, by retaining your entries during a session or during an order process and by saving certain user settings. They also assist us with analysing the way our services are used, in order to design them as convenient and efficient as possible for our users.

We apply session cookies and permanent cookies. In addition, partner and affiliate cookies are employed. Session cookies remain stored only for the duration of a visit of our web sites, and are automatically deleted while closing the browser.

Permanent cookies remain on your computer until you delete them or their duration expires. They memorise anonymous information relating to users who repeatedly take access to one of our web sites. This helps us to offer optimised user guidance, and to recognise and distinguish one user from others, in order to maintain that user’s personal settings, simplify the user experience on the web site, and provide each user with customised contents and pages. These cookies are not designed to actually identify users. Such cookies are also implemented for purposes of anonymised web analytics, see

Partner and affiliate cookies are employed where a user takes access to our services via a platform of one of our partners (e.g. an advertising display). They serve for accounting with such partners, do not contain personal data of the user, and are deleted once the user registers on our user interface, or upon expiry of the pre-set duration.

The application of cookies can normally be avoided, restricted, or connected with a notice to the user by corresponding settings in your browser. The help manual of your browser will instruct you what to do. Please note, however: Some cookies are essential for the use of our web site, or of certain functions. If they are disabled, you may not be able to pass through the order process, and you may have to accept restrictions in display and user guidance.

Further information about cookies and browser settings can be found by clicking on the circular fingerprint icon in the bottom left corner of the page.

Web Analytics

We seek to design our web presence as user friendly and efficient as possible. To this end, we apply web analytics services in order to know how many users visit our websites, how often, and in what manner. We do not use this software to collect personal data or individual IP addresses. The data are used only in anonymous and summarised form, for statistical purposes and for the enhancement of the website.

You can object the collection of such data from your visit.

Analytics Tools

We seek to design our web presence as user friendly and efficient as possible. For the analysis and enhancement of our website, we apply the web analytics service Mapp. It supplies us with anonymous, statistical information about the way our website is used. For this purpose, cookies are applied which generate such information and transfer them to us. Here we explain what cookies are and how you can delete them or disable their application. You will thereby not be identified, and remain anonymous; the software assigns a visitor ID which is not linked with your IP address. The information about how you use the web site is not shared with third parties. However, the information is processed also on servers operated by Mapp in Germany. Webtrekk is affiliated to the Privacy Shield program for crossborder data transfer, which provides for adequate privacy protection.

Should you disagree with the storage and analysis of the analytics data from your visit, you may object this by clicking the link. This will result in the placement of a so called opt-out cookie in your browser. This will have the effect that the service will forthwith not place web analytics cookies and not collect session data. Please observe: If you delete cookies from your browser, this will also affect the opt-out cookie, and you may have to reactivate it then.

Objection

Your visit on our web site is currently being monitored by the analytics service of Mapp. If you wish to decide to object this, click this link to place the opt-out cookie in your browser.

We would be pleased, however, if you agree to the employment of analytics tools, since they help us to regularly enhance our web presence and our services and to optimise them to your needs.

Safety of data and communication

Our database containing your personal data is protected at all times by appropriate technical and organisational measures to prevent its loss and abuse. It is stored in a safe operational environment which is not accessible to the public.

While your personal data are being transmitted under certain circumstances, e. g. during login and payment processes, they are encrypted by use of the socalled Secure Socket Layer (SSL) technology. This means that a state-of-the-art encryption method applies to the communication between your computer and ifolor’s servers, provided that your browser supports the SSL (https) technology.

Information and Rectification

Ifolor is the data controller of the collected personal data. Upon written request, we will provide you with information on what personal data we have recorded relating to your person.

If we have doubts about the accuracy of the data made available to us, we will verify its accuracy. Should you notice that the data we have processed is inaccurate or no longer up to date, you are entitled to ask us to rectify your data immediately and at no cost.

You have the right to notify us in writing at any time that you do not wish us to process your personal data any longer; provided that we must reserve our right to process data where necessary (e. g. invoicing data).

We reserve to require an appropriate means of identification from you, prior to processing your requests as mentioned above.
